Family Request and Notification Policy

Surname Request Privacy Notice

The Family Crest Company is a small Canadian business operated from Nova Scotia. This notice explains how we handle information submitted through our surname-request feature.

Information we collect

When you request a family surname, we collect:

the surname you submit;
your email address, if you choose to provide one;
the date and time of your request;
a record of your email consent and notification status; and
limited technical information that may be automatically recorded by our website or form provider for security and reliable operation.

Providing an email address is optional. You may submit a surname request without providing one.

How we use the information

We use the requested surname to help us understand which families customers would like us to research and add.

If you provide your email address and consent to email notifications, we will use it only to:

confirm that we received your request; and
send you one notification if the requested family is added to our website.

Providing your email address does not subscribe you to our newsletter, promotional emails or other marketing.

Submitting a surname request does not guarantee that the family will be researched or added.

Email consent

Email notifications are optional. You may withdraw your consent at any time by using the unsubscribe option in one of our emails or by contacting us at support@familycrestcompany.com.

Withdrawing consent will not affect your surname request, but we will no longer use your email address to send request-related notifications.

Retention

We retain an email-linked surname request for up to 24 months from the date it is submitted, unless:

the requested family is added and the notification process is completed;
you withdraw your email consent;
you ask us to delete the information; or
we determine that the information is no longer required.

After a family-added notification is sent, we normally remove the email address from our active notification list within 30 days.

We may retain the requested surname without the email address as anonymous catalog-planning information. We may also retain a limited record of consent or withdrawal where reasonably necessary to demonstrate compliance with Canadian law.

When personal information is no longer required, it will be deleted, securely destroyed or made anonymous.

Access, correction and deletion

You may ask whether we have personal information connected to your surname request. You may also ask us to correct or delete that information.

To make a request, contact us at support@familycrestcompany.com and include the surname and email address used when submitting the form. We may need to verify that the email address belongs to you before accessing, changing or deleting the information.

Some limited information may be retained where reasonably necessary to comply with legal requirements or document a withdrawal of consent.
